[Genealib] Cataloging Family Group Sheets

we received a bunch of family group sheets from a local genealogist
decades ago, and they were never cataloged, but only arranged by surname
in a locked case.
now that we are members of the Digital Past project
(www.digitalpast.org) we want to scan and upload these along with
transcriptions so that they will be findable not only by by searching
Digital Past, but also by Googling.

How we handle them is that we put them in surname folders and have a
list of the folders available. However, I have to think that there has
to be some way to scan these and make use of the scans.

I am volunteering at the Fiske Genealogical Library in Seattle,
WA. We recieve many donations. Some of these include family group sheets
and other individual research notes. We know these are important to keep
but are stumped with the best method to catalog these types of records
to let people know what we have. How do others handle these types of
material?
