Nancy,
You may have to talk directly to GSU about whether to send in money with
the order. Since we order on the phone, it is not an issue. It could
be that the order department does not handle billing and receiving and
they won't want to do it the way you are suggesting. The film usually
comes first, followed by the invoice in the mail, which the Library then
pays as it pays other invoices.
We created a colored sheet with blanks we could fill in for each film
ordered. The GSU order slips come in tear-off duplicates - one copy
goes with the patron and one copy stays with us. We staple that order
slip to our colored sheet on which we record film number, order number,
date ordered, date received, etc. We keep them in a file box and track
them as the film comes in, patron notified, due date established, etc.
We also wrap the film box with a slip the same color as the order slip
with all the info on it. Films are checked out from the reference desk
- patrons leave ID - and return to reference desk when they are
finished. Since our volume is not that large, it is not a problem to
keep it all in a "non-online" system.
I got most of the ideas for procedure issues from the director of the
local Family History Center. If you have one nearby, it is a nice
source for cooperation. There was no feeling of competition here, but I
admit I did tread lightly in the beginning just to be sure.

We have been on the waiting list for eight years and have just
finally received a contract. Now to see if it will go through the city
fathers! The city's auditors require all departments to keep exacting
track of all money, and purchasing orders, at best, once a week.
For that reason, and many others, I am contemplating having all
borrowers bring in checks or money orders made out to the Family History
Library. We will copy and send the checks in with the orders. Do you
think that will work? Any other ideas you can pass on?
